Exhibition Display Submission

Prompt: Please upload between 3 and 6 images of your product or service display from any previous exhibitions. Accepted formats: JPG, PNG, PDF (max 25 MB each). Please note: MP4 and other video files are strictly not supported. Only photos and PDFs may be uploaded.

NB! At least one image must show your stand setup and branding. If uploading product-only pictures, please use the notes field below to clarify which file demonstrates the stand setup.

Participation Requirements – Please Read Before Submitting Your Application
  1. This is strictly an application form. Submitting it does not, in any way, guarantee or confirm your participation at Outdoor X.
  2. All applications and bookings will be processed on a first-come, first-served basis.
  3. Applicants must be well-established businesses with proven experience in exhibiting at similar large-scale exhibitions.
  4. Exhibitions are defined as a display or demonstration of products or services in a professional, curated event setting.
  5. Applicants must demonstrate a reputation for exceptional marketing, aligned with the professional standards expected of exhibitors at Outdoor X.
  6. Approved applicants are expected to adhere strictly to their proposed plans to maintain the profile and quality of the exhibition.
  7. All exhibitors must provide adequate branding and marketing material, such as brochures, flyers, business cards, or similar printed collateral. Gazebos or similar structures must be clearly branded.
  8. Exhibitors may only display, stock, promote, sell, or demonstrate products and services that align with the profile and visual identity of Outdoor X.
  9. The organisers reserve the right to decline products deemed inconsistent with the exhibition profile. Preference is given to reputable brands and offerings that reflect quality, innovation, and meet visitor expectations.
  10. Exhibitors may not display or sell products that constitute parallel imports or infringe copyright, trademark, or franchising agreements. Such products will be declined or removed without prior notice.
  11. A detailed list of the products and services an exhibitor wishes to display, demonstrate, showcase, or sell must be submitted as part of the application. If approved, this list must remain consistent in the Booking Agreement. Any changes must be requested in writing and approved by the organisers.
  12. Applications are subject to the organisers’ competitive guidelines, designed to: promote healthy competition among exhibitors; encourage efficiency, adaptability, and innovation; and ensure a broad, balanced product offering that meets visitor demand and serves the best interests of all participants.
  13. The organisers reserve the right to decline certain products or services listed in the application, in the interest of both the applicant and other exhibitors. Applicants will be notified of any rejected products or services prior to receiving a Booking Agreement.
  14. All applications, including the products and services listed, will be reviewed at the organisers’ discretion. The organisers’ decision shall be final.
  15. An invoice, constituting a booking in progress, will only be issued once a signed copy of the Outdoor X 2027 Exhibitor Booking Agreement has been received with all mandatory fields completed.
  16. Privacy Policy: By submitting this application, you consent to the organisers collecting and processing the contact details provided for the sole purpose of administering your application and, if successful, facilitating your participation. Your personal information will be handled in accordance with applicable data protection laws and will not be shared with third parties except where required by law or to fulfil contractual obligations.
If you have not received any communication from Outdoor X within 7 days, please consider your application unsuccessful. Kindly note that Outdoor X will not enter into further correspondence regarding unsuccessful applications.
